Article VIII, Section 2 of the Abraham Lincoln Alumni Association Bylaws states, “Standing committees of the Board shall be comprised of not less than two (2) directors designated by the President and that there shall be the following standing committees: (1) Membership, (2) Budget and Finance, (3) Scholarship and Grants, (4) Promotion, Events, Public Relations, and Fundraising, and (5) the Wall of Fame.”
Article VIII, Section 3 states: “The President may designate such committees from time to time as may be required.” Thus, the President establishes the following standing committees and appoints the following board members in order to implement the Abraham Lincoln High School Alumni Association Strategic Plan more effectively and efficiently |
1)
Executive Committee

The Executive Committee consists of the President, Vice President, Treasurer, and Secretary. (For duties of these administrative officers, see the “Constitution and Bylaws of the Abraham Lincoln High School Alumni Association.”) The Executive Committee review proposed policies and activities of the Association before submission to the full Board of Directors. The Executive Committee meets at the call of the President.
In addition to the duties outlines in the Bylaws, the Executive Committee also serves as the Human Resources Committee. The overall purpose of the Committee is to develop a Strategic Plan for enhancing the effectiveness of the Alumni Association Board of Directors. More specifically, the committee: (1) develops a profile of the desirable Board in terms of demographic factors, desirable skills and experience, levels of commitment, and other variables; (2) designs a process of identifying, evaluating, recruiting, and training effective new Board members and developing future leaders; (3) utilizes the job analysis process to create job descriptions for each board position and function; (4) describes and distributes the expectations and functions of all standing and ad hoc committees of the Association; and (5) develops an orientation manual designed to provide members and other volunteers with an overview of the role and responsibilities of the Association and its interactions with Abraham Lincoln High School and its community. |

Nominating Committee

The Nomination Committee consists of five board members appointed by the President from the Board of Directors. The committee nominates one candidate for each Board of Directors position open for election. These nominations are presented to the Active Membership at the annual general membership meeting. Guidelines for the operation of the Nomination Committee are included in the Bylaws.

Membership Committee

The Membership Committee is chaired by the Secretary. The Membership Committee is responsible for the following: (1) recruiting and renewing members of the Association; (2) recommending new and renewal membership goals for Board approval, (3) organizing committees to plan and conduct membership drives, (4) establishing membership benefit packages; (5) directing committee activities, and (6) monitoring progress towards goals and reporting results to the Board. |

Budget and Finance Committee

The Budget and Finance Committee shall oversee budgetary and financial matter of the ALHS Alumni Association and shall perform the following functions: (1) develops an annual working budget for Board approval; (2) coordinates with the Treasurer to determine the information to be included in the monthly financial report to the Board; (3) coordinates with the Secretary for the maintenance of a ledger of incoming revenue; (4) compares the actual income/expenses to projections; (5) performs other financial analysis as needed and reports results to the Board for information or action; (6) monitors investments and recommends investment policy to the Board; (7) develops and alumni merchandising program to include a variety of T-shirts and sweatshirts, jewelry and other Abraham Lincoln High School Alumni Association gifts; (8) works with the Annual Giving Campaign Sub-Committee and the Special Projects Fundraising Sub-Committee; and (9) performs other duties as prescribed by the President.

Annual Giving Campaign Sub-Committee

The primary purpose of the Annual Giving Campaign Sub-Committee is to develop and implement a fundraising program to increase the Association’s revenue level for ongoing and new projects. Fundraising programs shall be designated for specific or general programs and projects: e.g., performing arts, sports, student activities, scholarships, and faculty awards among others. |
4b)
Special Projects Fundraising Sub-Committee

The Special Projects Fundraising Committee develops and implements a fundraising program to support long-term projects; e.g., resurfacing the tennis courts, placing benches and lights in the Memorial Plaza, imitating a sidewalk/bricks project, and installation of carpeting in the auditorium. These projects are separate and distinct from programs and activities conducted by other committees. |

Program and Events Committees
The Program and Events Committees consists of the Day at the Races Committee, Alumni Sports Hall of Fame Committee, President Lincoln’s Crab Feast Committee, Alumni Wall of Fame Committee, Class Reunion committee, Regional Alumni Roundup Committee, and the Alumni Variety Show Committee. The committees plan, organize, coordinate, and conduct educational, social, and recreational events and activities for the benefit of the members of the Association. The Committee evaluates and improves activities and programs specifically designed to increase alumni awareness, interest, and involvement in the alumni program and Abraham Lincoln High School as a whole.
5a)
Day at the Races Committee

The committee plans the event and makes arrangements with a racetrack.
The committee ensures that appropriate publicity and reservation forms for the event are delivered to alumni and friends not later than 6 weeks prior to the event. The alumni office staff handles the mailing, reservations, registration, and monies associated with this event. The Chair, or a designee, will handle the seating arrangements. |
5b)
Alumni Wall of Fame Committee

The committee shall select at least two Abraham Lincoln High School graduates as candidates for the Wall of Fame and may select a teacher for the Distinguished Teacher Award each year. The Chair shall notify the honorees, receive their acceptance, obtain their pictures and biographies and have plaque and medallion made for each recipient as well as a plaque for the Wall of Fame. The plaque shall include a picture and a brief biographical sketch of the recipients’ achievements for placement in the Wall of Fame cabinets at Abraham Lincoln High School. The committee shall make certain that the plaques are placed in the Wall of Fame cabinets are appropriately maintained. The Chair shall seek permission from the Wall of Fame honorees to place their pictures and biographical sketches on the Abraham Lincoln High School website (lincolnalumni. com) and provide the webmaster with the pictures and biographical sketches.
The Chair shall make arrangements for the date, time, and place for the Wall of Fame Banquet. The Chair shall be responsible for the program at the Wall of Fame Banquet as well as at the Awards Assembly at Abraham Lincoln High School. The Chair shall make arrangements with the principal of Abraham Lincoln High School as to the date and time of the Awards Assembly. The Chair shall serve as the master of ceremonies at both of these events. The Wall of Fame Banquet and the Awards Assembly at the School honors not only the Wall of Fame and Distinguished Teacher Award recipients but also the student awardees of Abraham Lincoln High School Alumni Association scholarships.
A printed program for the attendees shall be prepared. Each former Wall of Fame honoree shall be personally invited by the Chair to attend and wear his/her medallion at the annual event.
The Alumni office shall handle the mailing, reservations, registration, and monies associated with these events. Seating arrangements shall be made by the Chair, or his designee.
The Communications and Public Relations Committee, after consultation with the Chair, shall provide the office staff with appropriate publicity at least two months prior to the event. |
5c)
Alumni Sports Hall of Fame Committee

The committee selects and inducts into the Abraham Lincoln High School Alumni Sports Hall of Fame those individuals of Abraham Lincoln High School who have made outstanding contributions to the athletic program on the basis of their accomplishments at the high school level. The committee shall have twelve (12) members, excluding the Chair, with staggered terms of three years. The ALHS Athletic Director shall be an ex officio non-voting member of the committee. The Chair shall be appointed by the President of the Alumni Association. Replacements on the committee shall require a majority vote of the standing nine committee members and the Chair.
Nominations - Nominees for inclusion in the Abraham Lincoln High School Sports Hall of Fame shall be from the following categories: athletes, coaches, faculty members, administrators, and special category. Selection criteria shall be developed for each of these categories by the committee and filed with the Secretary of the Abraham Lincoln High School Alumni Association. For an individual to be selected for induction into the Hall of Fame, he/she must receive two-thirds of the votes at a committee meeting. A quorum shall consist of nine (9) members. The committee shall develop the criteria in selecting nominees, and all votes for selection shall be by secret ballot.
Induction Ceremony - Induction into the Abraham Lincoln High School Alumni Sports Hall of Fame shall take place annually at a banquet honoring these inductees. The Chair, or his/her designee, shall make arrangements for the date, time, and place for the Sports Hall of Fame Banquet and be responsible for the program. The Chair, or his/her designee, shall serve as the master of ceremonies at this event.
Administrative Details - The Alumni office staff shall handle the mailing, reservations, registration, and monies associated with these events. Seating arrangements shall be made by the Chair, or his/her designee. A brief biographical sketch of each new honoree shall be provided to the Alumni office staff so a printed program may be prepared for the banquet.
Hall of Fame Display - A display has been prepared in a permanent location in the Peter Yan Memorial Gymnasium to honor these individuals in perpetuity. The Chair, or his/her designee, works with the Chair of the Special Projects Committee in the design, development, and maintenance of a display for the names of these outstanding athletes inducted into the Sports Hall of Fame.
Fiscal Arrangements - All profits from the annual banquet and donations related thereto shall be utilized in support of the athletic programs at ALHS. The Treasurer of Abraham Lincoln High School Alumni Association shall collect and disburse all funds associated with the activities of the committee and maintain separate accounts for this special project. Authorization for disbursements shall be made by the Chair of the committee.
The Chair, or his/her designee, shall ask the ALHS Director of Athletics and Principal to present budget requests to the committee for their consideration.
The Abraham Lincoln High School Sports Hall of Fame Committee shall conduct such other fundraising activities in support of designated sports as well as undesignated athletic programs at ALHS. The Chair, or his/her designee, shall keep the Alumni Board of Directors informed of such activities. |
5d)
President Abraham Lincoln’s Annual Crab Feast Committee

The committee has the overall responsibility for President Abraham Lincoln’s Annual Crab Feast. The committee consists of six subcommittees: Reception Subcommittee, Raffle Subcommittee, Tour Subcommittee, Entertainment Subcommittee, Alumni Stores Subcommittee, and the Crab Feast Subcommittee. The Alumni Office staff shall collect the funds, record the reservations, and prepare printed programs and lists of attendees for the Reception Subcommittee.

Reception Subcommittee

The Reception Subcommittee is responsible for welcoming the attendees, verifying that they have paid reservations, and distributing the printed program of events for the evening. The Alumni Office staff shall provide a list of paid registrations sorted by class term and year, by current last name, and student last name. They shall make arrangements with the school administration so that only one entrance will be open for attendees to enter the high school. However, an exception shall be made for access of handicapped individuals. Members of the Forty Lincs should attend the handicapped entrance and direct the other attendees in the part to the reception desk for verification of paid reservation. |

The Raffle Subcommittee is responsible for acquiring raffle prizes, acquiring and selling raffle tickets, and conduction the raffle drawing. The Subcommittee shall make a collection of funds from the attendees for the Forty Lincs. |

The Tour Subcommittee is responsible for making arrangements with the Junior Reserve Officer Training Corps (JROTC) to provide tours of the campus and post the colors in the auditorium as part of the entertainment program. |

The Entertainment Subcommittee is responsible for making arrangements with the school’s Director of Activities for a program to be performed by students in the auditorium. A printed program of events for the evening is the responsibility of the subcommittee. Arrangements should be made for the sound system and other technical assistance not only for the auditorium but also for the cafeteria. |

Arrangements shall be made: (1) for reserving the school site, (2) for the Forty Lincs to assist in the setup in the cafeteria, to assist in the kitchen, to serve the food, and help in the cleanup, (3) with the cook in the school cafeteria for assistance in the kitchen as well as entrance to the refrigerator for storing the crab and other goods, and (4) for a custodian. |

Alumni Association Reunion Committee

The Alumni Association Reunion Committee volunteers to assist the Chairs of Class Reunion Committees in the organization and operation of their class reunions.
The Alumni Association Reunion Committee will contact past chairs of class reunions to ascertain if they will continue being the chair of their next reunion. These contacts should be made at least a year in advance for classes which have graduated, 5, 10, 15, 20, 25, 30, 35, 40, 45, 50, 55, and 60 years ago. If the past chair does not want to continue, the committee should attempt to find a replacement to chair the next reunion committee.
The Alumni Association Class Reunion Committee shall canvass the class officers of each class, where there is no reunion chair, to seek their support as the chair of their class reunion.
The Alumni Association Reunion Committee will offer the following assistance to the Chair of the Class Reunion Committee: (1) class lists from the database, (2) mailing labels and envelopes, (3) postage stamps for the first mailing, (4) announcements of the reunion and membership applications, (5) suggested place for the reunion, (6) sources of music (band and disk jockeys), balloons, photography service, and video production, (7) provide Abraham Lincoln High School Alumni Association banner, and (8) provide memorabilia items such as T-shirts, sweat shirts, and pins for sale.
Class lists, mailing labels, envelopes, postages stamps, and Alumni Banner will be provided to the Chair of the Class Reunion Committee by the Alumni Office staff.
The Alumni Association Reunion Committee will develop a user’s manual on how to organize and manage a reunion as well as conduct training sessions for Class Reunion Committees. |

Regional Alumni Roundup Committee

The committee plans and directs the efforts of the Association to create regional alumni functions.
The committee establishes regional committees to conduct programs in at least two geographical areas and ensures that the Alumni Office staff will handle the mailing and monies associated with the event. In addition, the Alumni Office staff will provide the regional committee with names, addresses, telephone numbers, and E-Mail addresses of alumni in the immediate area of the regional reunion.
Other duties are performed as prescribed by the President of the Board. |

School Participation Committee

Students at Abraham Lincoln High School participate in many activities that would be of interest to alumni if they knew in advance about these events.
The purpose of the School Participation Committee is to work with the school’s Director of Activities and other appropriate administrators and staff to obtain the date, time, and type of events on the school calendar.
The chair informs the Chairs of the Lincoln Log Committee and the Website Committee of these events so they can include the information in their respective media. |

Communications and Public Relations Committees
The purpose of the Communications and Public Relations Committees is to enhance the communication and public relations program of the Abraham Lincoln High School Alumni Association, Abraham Lincoln High School, and the general public by: (1) using written, verbal, and electronic communications with alumni to increase awareness of and interest and pride in the achievements of Abraham Lincoln High School and its alumni; (2) making more effective use of the Alumni Lincoln Log and other communication channels such as regional and local newspapers and actively explore the possibility of targeted, alumni-specific media; (3) utilizing San Francisco Unified School District’s public affairs personnel to place alumni stories in as many media outlets as possible, and (4) developing a schedule of presentations to service clubs, merchants’ association, and communication groups about Abraham Lincoln High School and the Alumni Association.

Lincoln Log Committee

The Lincoln Log Committee writes and produces the Lincoln Log at least three times per year for distribution in august, December, and March. Special editions will be produced and distributed whenever deemed appropriate by the Board.
The major reason for these publication and distribution dates is to ensure that publicity will be available to alumni for the following traditional Alumni Association events at least six weeks prior to the event: (1) Day at the Races in September, (2) Sports Hall of Fame in October, (3) President Abraham Lincoln’s Birthday Crab Feast in February, and (4) Wall of Fame Banquet in May.
The Chair will make arrangements for a printer of the Lincoln Log, the delivery of a camera-ready copy to the printer, pickup of the finished product, and delivery to the Alumni Office.
Folding of the Lincoln Log will be done by the Folding, Stuffing, and Stamping Committee.
Delivery of the folded Lincoln Log to the mailing house will be done by the Alumni Office staff. |

The Website Committee will develop and maintain the Abraham Lincoln High School Alumni Association Website (www.LincolnAlumni.com).
The Web Master establishes a link to the Abraham Lincoln High School and Abraham Lincoln High School Parent Teacher Student Association.
The Web Master seeks appropriate information for inclusion on the website from the Alumni Association officers, board members, and committee chairs as well as other alumni. |

E-Mail addresses of Abraham Lincoln High School alumni are maintained on the alumni database, Lincoln.mdb, with Microsoft Access software.
The committee is responsible for expanding and updating E-Mail addresses on the database and sending E-mail messages to alumni. |

Abraham Lincoln High School Alumni Directory Committee

A directory of all alumni of Abraham Lincoln High School was published in 2005 by Harris Publishing Company. Biographical, geographical, and class information was provided in the directory.
The committee is responsible for working with a publisher, providing appropriate information, and publishing a new directory every five years. The publishing date for the next directory is projected to be 2010. |

Abraham Lincoln High School Yearbook Committee

Abraham Lincoln High School publishes an annual yearbook, Roundup, for its students. The committee will work with the faculty member in charge of the Roundup as well as the students to ensure that the Abraham Lincoln High School Alumni Association has presence in the publication. |

Audio, Video, and Film Productions Committee

Events and projects conducted by Abraham Lincoln High School need to be recorded for archival and public relations purposes.
The committee reviews events and projects to determine if media should be utilized to develop a product for the archives.
The committee arranges for audio, vide, or film productions of events and projects. |

Abraham Lincoln High School Teachers Directory Committee

Frequent requests are made by alumni for information on teachers who taught at Abraham Lincoln High School. This is particularly true when alumni want to invite their former teachers to their class reunions.
In order to assist these alumni, a Directory of Teachers has been computerized. Present information includes only the names of the teacher and the years they taught at Lincoln. The committee updates the database, teachers.mdb, each year.
The committee will conduct research to determine if the teachers are still alive and, if so, to search for their current address for entry into the database. |

Folding, Stuffing, and Stamping Committee

The Alumni Association engages in mass mailings to the alumni.
The committee folds, stuffs, and stamps these mass mailing pieces for distribution of the alumni. The mass mailing pieces and postage stamps are available at the Alumni Office.
The committee will determine the location where the work will be done and makes the necessary arrangements for its availability.
When the tasks are completed, the mailings are to be taken to the Alumni Office. The Alumni Office staff will either take the mailings to the post office or the mailing house for distribution. |

Database Managements Committee

The chair of the Database Management Committee is appointed by the President. The function of the Committee is to design, develop, implement, and operate the database management system for the Alumni Association. Specifically, the Committee works with the Abraham Lincoln High School administration to maintain an updated, accurate database and should: (1) make effective use of the accurate alumni addresses which are available; (2) agree upon a strategy, process, and timetable for correcting the remaining inaccuracies in the information system and a process and division of responsibility for maintaining data integrity in the future, and (3) develop appropriate policies and procedures covering access to and use of the alumni data. |

Scholarship and Grants Committee

The committee works with the school administration and teachers in selecting the winners of respective scholarships in accordance with the specifications for each one. Also, the committee receives and evaluates requests for grants from the teachers of Abraham Lincoln High School and makes recommendations for awards to the Board. The committee develops evaluative criteria for these scholarship and grant programs to determine if the alumni dollars are invested wisely.

Special Projects Committee

The purpose of the Special Projects Committee is to undertake projects approved by the Board of Directors that will enhance not only the physical appearance but also the physical structure of Abraham Lincoln High School; e.g., the completion of the Memorial Plaza, carpeting for the disabled students’ classroom, displaying memorabilia in the alumni cabinets outside the alumni office, purchase of pressure washer, construction of time capsule vault, etc.

Volunteer Services Committee

A need exists to identify and enlist the support of volunteers from alumni, students, and friends. The success of the organization will in large measure depend on the ability of the Association to expand volunteer services for programs, events, and services at Abraham Lincoln High School. There are alumni who want to volunteer and assist in selected programs and activities. However, they are not interesting in serving on the Board.
The purpose of this committee is to seek volunteers to provide needed assistance to Abraham Lincoln High School as well as the Alumni Association.
Initially, the committee identifies activities that can be performed by volunteers and then recruits these volunteers. The services provided by these volunteers should be meaningful and satisfying experiences. |
10)
Strategic Planning Committee

The chair is appointed by the President. All members of the Board should be constantly reviewing and making suggestions to the Strategic Planning Committee for updating the Strategic Plan. The committee receives these suggestions for possible incorporation into the Strategic Plan. The Strategic Planning Committee would then submit these recommendations to the Executive Committee for eventual review by the Board for appropriate action. The Committee studies the Western Association of Schools and Colleges (WASC) Accreditation Report for Abraham Lincoln High School to ensure that the ALHS Alumni Associations programs and events are consistent with and supportive of furthering the mission of Abraham Lincoln High School.
